How to Configure an Email Account in Outlook

1. Add the Account

  • Open Outlook, click File, then Add Account.

  • Enter the email address you want to configure.

  • Click Advanced Options and select the option for manual setup.

2. Choose Account Type

  • Select either POP or IMAP, depending on your preference.

3. Configure Servers and Ports

With SSL Encryption (recommended, requires SSL certificate installed):

  • Incoming Mail (IMAP):

    • Server: mail.yourdomain.tld

    • Port: 993

    • Encryption method: SSL/TLS

  • Outgoing Mail (SMTP):

    • Server: mail.yourdomain.tld

    • Port: 465

    • Encryption method: SSL/TLS

Without SSL Encryption:

  • Incoming Mail:

    • Server: mail.yourdomain.tld

    • Port: 143

    • Encryption method: None

  • Outgoing Mail:

    • Server: mail.yourdomain.tld

    • Port: 587 or 25

    • Encryption method: None

Replace yourdomain.tld with your actual domain.

4. Complete Setup

  • Click Next, enter your account password, and click Connect.

  • If SSL is enabled and the certificate is invalid, an alert will appear. Accept the warning or, if preferred, set up the account without SSL.

5. Modify Settings for an Existing Account

  • In Outlook, select the account you want to change and click Server Settings.

  • Ensure that My outgoing server (SMTP) requires authentication is checked, along with Use same settings as my incoming mail server.

  • Confirm the changes and click Next.

Following these steps ensures your email account works correctly for both sending and receiving messages.
